Winner Selection and Draw Process

1. Purpose

This page explains how Agora Competitions Ltd selects winners and records draw evidence.

Our aim is to run draws fairly, transparently and consistently.

2. Valid entries

Before a draw, we may review entries to identify valid entries.

A valid entry usually means:

  • The entrant is eligible.
  • The entry was received before the closing time.
  • Any required payment was authorised and not reversed.
  • Any required competition question was answered correctly.
  • Entry limits were not exceeded.
  • The entry was not created through a duplicate account, bot, script, fraud or abuse.
  • The entry complies with the Terms and Conditions and Competition Rules.

3. Entry list

We may create an entry list before the draw.

The entry list may include ticket numbers, entrant names or partial entrant details. This helps entrants check that their entries are included.

If an entrant believes the entry list is wrong, they should contact us before the draw takes place.

4. Draw methods

The competition page will state the winner selection method.

We may use:

  • A verifiably random computer process.
  • A random number generator.
  • A live draw tool.
  • A physical draw method.
  • Independent supervision.
  • An independently audited instant win mechanism.
  • Another fair method described on the competition page.

5. Random computer process

Where we use a random computer process, we will use a process designed to select a winner at random from the valid entries.

We may record:

  • Competition ID.
  • Entry list snapshot.
  • Number of valid entries.
  • Draw date and time.
  • Random process used.
  • Winning ticket or entry number.
  • Operator or supervisor details.
  • Draw recording, where applicable.
  • Audit log or system output.

6. Independent supervision

Where required or appropriate, we may use an independent person or independent supervision for the draw.

The independent person may supervise the process, confirm the number of valid entries, observe the winner selection method or sign a draw record.

7. Live draws

Where a draw is live streamed, the competition page or announcement may state the planned platform and time.

A live draw may be streamed on platforms such as YouTube, Facebook, Instagram, TikTok or another channel.

A live stream may be delayed or moved if there are technical issues, platform issues, moderation issues, safety concerns or other reasonable reasons.

8. Auto draws

Some competitions may use an automated draw process.

An auto draw may select a winner automatically when the competition closes or sells out. The competition page should state if an auto draw applies.

9. Draw timing and winner contact

Unless the competition page states otherwise, we aim to complete the draw and make first contact with the winner within 30 minutes of the competition closing.

This timing may be longer where we need to investigate a technical issue, verify entries, resolve a payment issue, wait for postal processing, arrange independent supervision or deal with another reasonable issue affecting fairness or administration.

If there is a material delay, we will update the competition page or announce the delay through a reasonable channel.

10. Instant wins

For instant win competitions, prizes may be allocated by a fair mechanism such as pre assigned ticket numbers, random allocation or another process described on the competition page.

Instant win competitions are open to free postal entry. Valid postal entries received before the competition closes are included in the same instant win allocation process as valid paid entries and have the same chance of winning.

We may verify instant win results before confirming the prize.

11. Winner verification

Selection as a winner is provisional until verification is complete.

We may verify:

  • Age.
  • Identity.
  • Address.
  • Account ownership.
  • Payment ownership.
  • Eligibility.
  • Compliance with entry limits.
  • Compliance with terms.
  • Bank account ownership for cash prizes.

Unless the competition page states otherwise, the winner must respond and complete the required verification or prize acceptance steps within 14 calendar days of our first notification.

If verification fails, we may disqualify the provisional winner and select an alternative winner.

12. Alternative winners

If a winner is disqualified, cannot be contacted, fails to respond, refuses the prize or fails verification, we may select an alternative winner.

Unless the competition page states otherwise, if the winner does not respond or complete the required verification or prize acceptance steps within 14 calendar days of our first notification, we may treat the prize as unclaimed and select an alternative winner.

The alternative winner will usually be selected using the same valid entry pool and selection method, unless the competition page or circumstances reasonably require another fair method.

13. Draw evidence

We may keep draw evidence, including:

  • Entry lists.
  • Draw logs.
  • Random process records.
  • Screen recordings.
  • Live stream recordings.
  • Independent supervision notes.
  • Winner verification records.
  • Prize acceptance records.
  • Complaint records.

This evidence may be used for internal audit, complaint handling, legal compliance, fraud prevention and responding to regulators or competent bodies.

14. Publishing results

We may publish results on:

  • The competition page.
  • A winners page.
  • Social media.
  • Email announcements.
  • Live draw recordings.

Publication is subject to our Winners and Publicity Policy and Privacy Notice.

15. Errors and redraws

If we identify a material error in the draw process, we may take reasonable corrective action.

This may include:

  • Verifying the result.
  • Correcting a non material record error.
  • Re running the draw.
  • Selecting an alternative winner.
  • Refunding affected entries.
  • Cancelling the competition.
  • Taking another fair action.

We will consider the seriousness of the error, whether any entrant was unfairly disadvantaged and what action best preserves fairness.

Winners and Publicity Policy

1. Purpose

This policy explains how Agora Competitions Ltd announces winners and uses winner information.

It should be read with our Terms and Conditions, Privacy Notice and Winner Selection and Draw Process.

2. Why we publish winner information

We may publish limited winner information to show that prizes have been awarded and competitions have been administered fairly.

This helps provide transparency for entrants, regulators, advertising standards bodies, payment providers and the public.

3. Information we may publish

Depending on the competition and prize, we may publish:

  • First name.
  • Surname or initial.
  • Town, county or region.
  • Ticket number or entry number.
  • Prize won.
  • Draw date.
  • Photograph.
  • Video.
  • Social media handle, where relevant and agreed.
  • Short winner comment or testimonial, where agreed.

We will aim to publish only what is reasonably necessary and proportionate.

4. Winner photographs and videos

We may invite winners to take part in photographs, videos, handover content, interviews or social media content.

Where participation is optional, we will make that clear.

Where we ask for consent, you can refuse or withdraw consent. Withdrawal may not affect content already lawfully published before withdrawal, but we will consider reasonable removal requests.

5. Objection to publication

You may object to your winner information being published by contacting privacy@agoracompetitions.co.uk.

Please contact us as soon as possible and ideally before the draw.

If you object, we will consider your request and may limit what we publish. However, we may still need to provide winner information to the Advertising Standards Authority, regulators, law enforcement, courts, payment providers or other competent bodies where required.

6. Major prize winners

For major prizes, we may need to make available information showing that a valid award took place.

This may include the winner’s surname and county or other limited information.

If you object to publication, we may still be required to provide information privately to a competent authority.

7. Social media tagging

We will not require you to publish on your own social media account as a condition of claiming a prize unless the competition page clearly says this and it is lawful to do so.

If we tag you or ask for your social handle, you can ask us not to.

8. False winner claims

You must not claim to have won a prize if you have not been verified by us.

We may take action if someone impersonates a winner, uses altered screenshots, misuses our brand or spreads false claims about a competition result.

9. Winner availability

Winners must respond to our notification and complete verification within the timeframe stated in the Terms and Conditions or competition page. Unless the competition page states otherwise, this is 14 calendar days from our first notification.

If a winner does not respond, fails verification or refuses the prize, we may select an alternative winner.

10. Retention

We may retain winner records for legal, tax, accounting, audit, complaint, prize fulfilment, publicity and fraud prevention purposes.

Cash Prizes and Site Credit Policy

1. Purpose

This policy explains how Agora Competitions Ltd pays cash prizes, issues site credit and verifies winners.

It should be read with our Terms and Conditions, Competition Rules and Winners and Publicity Policy.

2. Prize description

Each competition page will describe the prize.

Prize descriptions may include:

  • Cash amount.
  • Site credit amount, where applicable.
  • Any restrictions.

You should read the prize description before entering.

3. Winner verification before awarding a prize

Before releasing a prize, we may require:

  • Proof of identity.
  • Proof of age.
  • Proof of address.
  • Proof of account ownership.
  • Proof of payment method ownership.
  • Proof of bank account ownership for cash prizes.
  • Signed prize acceptance forms.
  • Any other information reasonably required for legal, tax or fraud prevention reasons.

If verification fails or is not completed in time, we may disqualify the winner and select an alternative winner.

4. Cash prizes

Cash prizes will normally be paid by bank transfer to the verified winner.

We may require evidence that the bank account belongs to the winner or is a joint account held by the winner.

We will not normally pay a cash prize into another person’s bank account.

Unless the competition page states otherwise, we aim to pay cash prizes within 48 hours after the winner has responded, been verified and provided valid bank details.

5. Site credit

If a prize is site credit:

  • It may be used only on our website.
  • It may have an expiry date.
  • It may not be withdrawable as cash.
  • It may be subject to entry limits and responsible play controls.
  • It may be removed if obtained through fraud, error or breach of terms.

The competition page should explain any specific site credit terms.

6. Failure to claim

If a winner does not respond or fails to complete verification or prize acceptance requirements within the stated timeframe, we may treat the prize as forfeited and select an alternative winner. Unless the competition page states otherwise, this timeframe is 14 calendar days from our first notification.
